This role is responsible for:
- Providing a quality service as the first point of contact for a broad range of internal and external Screenwest stakeholders;
- Addressing and/or directing external stakeholder enquiries relating to the administration of funding programs and initiatives;
- Provide key administrative support in designated funding programs and initiatives, and to the wider Screenwest Funding Team, to assist in the day-to-day management of Screenwest grants funding programs, grant applications and ongoing funded project tracking;
- Coordination and administration of funding assessment panels for funding applications. Is responsible for ongoing use and maintenance of SmartyGrants and other Screenwest grants management system/s.
Summary of duties
- Provides general administrative and secretarial assistance for designated programs/special initiatives as required, including assessment panel scheduling and minutes.
- Assists with research, statistics, reports and correspondence relating to Screenwest funding programs.
- Liaises with grant funding applicants, members of the screen industry and relevant stakeholders about Screenwest funding programs and processes.
- Under the direction of the Head of Operations, is responsible for the upkeep and integrity of funding database/s, Funding Administration procedures and other organisational statistical tracking documents for funding program initiatives.
- Under the direction of the Head of Operations, responsible for the ongoing implementation and maintenance of key online grants management tools including SmartyGrants and other grants management systems as relevant.
- Under direction of Screenwest Program Managers, responsible for tracking projects and contracts, including follow up of deliverables, acquittals and audit information relating to funding program initiatives, which will involve liaising with grant applicants on a daily basis.
- Responsible for robust recordkeeping and information management tasks associated with grant funding applications.
About you
- Experience in a customer service environment or office environment, possessing excellent customer service skills including a professional, courteous and friendly approach to all internal and external stakeholders, in an ethical and timely manner.
- Demonstrated commitment to the delivery of quality customer service.
- Experience providing administrative support and well-developed keyboard and computer skills, including working knowledge of Microsoft Office, databases, spreadsheets and word processing.
- Experience in research and effective writing skills.
- Well-developed communication and interpersonal skills, including the ability to deal with, build and maintain relationships with a diverse range of internal and external stakeholders.
- Ability to work autonomously and within a small team environment.
Desirable:
- Experience in film and TV / screen sector, with an understanding of film and TV productions.
- Knowledge of the screen industry and WA film funding practices.
Other requirements:
- A current (within three months) National Police Clearance Certificate will be required.
